Instructional Guide: Zoom Annotate and Record

Overview

Zoom Meeting participants can annotate on a shared screen as a viewer or the one that started sharing your screen. You can also use annotation tools when sharing or viewing a whiteboard.

Prerequisites

  • Annotation enabled
  • Zoom Desktop Client
  • Zoom Mobile App
  • Joined or started a meeting with screen sharing

Note: The meeting host can disable attendee annotation. If you do not have the annotation option, confirm that the host has not disabled annotation.

Enabling annotation for meetings

Before using annotation, make sure it’s enabled in the Zoom web portal.

Account

To enable annotation for all users in the account:

  1. Sign in to the Zoom web portal 
  2. In the navigation panel, click Account Management then Account Settings.
  3. Click the Meeting tab.
  4. Under Meeting (Basic), verify that Annotation is enabled.
  5. If the setting is disabled, click the toggle to enable it. If a verification dialog displays, click Turn On to verify the change.

Group

To enable annotation for a group of users:

  1. Sign in to the Zoom web portal.
  2. In the navigation panel, click User Management then Group Management.
  3. Click the applicable group name from the list, then click the Settings tab.
  4. Click the Meeting tab.
  5. Under Meeting (Basic), verify that Annotation is enabled.
  6. If the setting is disabled, click the toggle to enable it. If a verification dialog displays, click Turn On to verify the change.

User

To enable annotation for your own use:

  1. Sign in to the Zoom web portal.
  2. In the navigation panel, click Settings.
  3. Click the Meeting tab.
  4. Under Meeting (Basic), verify that Annotation is enabled.
  5. If the setting is disabled, click the toggle to enable it. If a verification dialog displays, click Turn On to verify the change.
    Note: If the option is grayed out, it has been locked at either the group or account level. You need to contact your Zoom admin.

Before you start the meeting, open the .pdf file/s.

In this explanation, a .pdf file was used, however, you can have a .docx file, a program (Sketchpad, Wolfram Mathematica) etc.

Step 1:

  • Select New meeting.

Step 2:

  • Select Share.

Step 3:

  •  Select “the pdf file” » Select Optimize for full screen video clip » Select Share.

Step 4:

  • Select More » Select Record on this Computer.

Step 5:

  • You will then be prompted to Unmute yourself.

Note: This will only pop up if you have audio muted on start of the Zoom meeting.

Step 6:

  • Select Annotate, you will see the annotation menu appear. This will allow for underlining of text, highlighting etc. At this point, whatever you say and do on the pdf, would be recorded.
  • Note: Select Mouse to enable scrolling of the pdf file.
    Select Clear to erase markings on the pdf file.

    Think of the annotate feature in Zoom like you are placing a sheet of glass on top of the pdf.

Step 7:

  • After discussion … Select Stop Recording » Select Stop Share.

Step 8:

  • Select End meeting » Select End meeting for All.

Step 9:

  • Sit back and let Zoom do the rest… at this point Zoom will create the video.

Depending on your setup of Zoom, you should find your recording in your Documents folder.

Four files will be created depending on the options that you selected in the settings.
Zoom_0 will contain the video recording with audio.

• Start/Stop recording: Alt+R
• Pause: Alt+P
• Undo: Ctrl + Z
• Redo: Ctrl + Y
• Mouse Mode: mouse right click anywhere
